This Privacy Policy explains how Software Cloud Limited (“we”, “us”, “our”) collects, uses, and protects personal data when you use our websites and applications.

1. Who we are
Software Cloud Limited is a company registered in England & Wales (company number 09157482), with its registered office at 148 Rose Bowl, Portland Crescent, Leeds, LS1 3HB, United Kingdom.
We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you are based in the European Economic Area, we also process your data in line with the EU GDPR.
2. What data we collect
The data we collect depends on which of our apps or services you use. In general, this may include:
- Account information — your email address, and any display name you choose.
- Content you create — for example, shift entries you add in MyShiftCalendar.
- Device and technical information — your operating system version, app version, device model, and a randomly generated installation identifier used to deliver app updates and diagnose crashes.
- Communications — when you email us, we keep your message and our reply for as long as needed to resolve the issue and (briefly) for our records.
We do not sell your personal data, and we do not use it for behavioural advertising.
Each app has its own in-app privacy notice that lists exactly what that specific app collects. The lists in this policy are general — for the most accurate per-app detail, see the relevant app’s settings screen or its page on this site.
3. How we use your data
We use your personal data only for the following purposes:
- To provide the app or service you’ve signed up for
- To respond to your support requests
- To diagnose and fix bugs and crashes
- To send important service messages (for example, a notice that we are changing the terms or shutting down a service)
- To comply with our legal obligations (e.g. responding to a lawful request from a UK authority)
4. Legal basis for processing
Under UK GDPR we rely on the following legal bases:
- Contract — when processing is necessary to provide the app or service you’ve requested.
- Legitimate interest — for security, fraud prevention, and limited diagnostic logging.
- Consent — where the app explicitly asks for it (for example, before enabling optional cloud sync). You can withdraw consent at any time in the app’s settings.
- Legal obligation — where we are required to retain or disclose information by law.
5. Sharing your data
We share personal data only with:
- Service providers who help us run our apps (for example, our cloud hosting and email providers). These providers act on our instructions and are bound by contracts that require them to protect your data.
- Authorities, where we are legally required to do so.
We do not share, sell, or rent your personal data to third parties for their own marketing purposes.

6. International transfers
Some of our service providers are based outside the United Kingdom. Where personal data is transferred outside the UK, we rely on UK GDPR-approved safeguards such as the UK International Data Transfer Agreement or Addendum to ensure your data remains protected.
7. How long we keep your data
- Account data: kept while your account is active. If you delete your account, we delete or anonymise the data within 30 days, unless we are legally required to keep it longer.
- Support emails: kept for up to 24 months after the issue is resolved.
- Crash and diagnostic logs: kept for up to 90 days.
8. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data (“right to be forgotten”)
- Restrict or object to our processing
- Receive your data in a portable format
- Withdraw consent at any time, where we rely on consent
- Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk

9. Cookies and tracking
This website (softcl.com) does not set any cookies. We do not run analytics, advertising, or tracking scripts of any kind on this site, and we do not load third-party fonts or scripts that would set cookies on your behalf.
Individual apps published by Software Cloud Limited may use operational cookies or local-storage entries. These are described in each app’s own in-app privacy notice, separate from this one.
10. Children
Our apps are not designed for or directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, contact us at support@softcl.com and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes we will update the “last updated” date at the top of this page and, where appropriate, notify users in-app or by email.
